RSO Event/Space Request Form

This request form must be submitted at least 10 business days before your scheduled event. If your form is not submitted within that time limit, it will not be approved. If you have multiple dates for one event (i.e. chapter meetings) please provide the additional dates in the 'Event details' box.

RESERVATION AND RENTAL OF CAMPUS BUILDINGS AND GROUNDS
Campus spaces and reservations are listed on the CBU website so that persons anywhere can see immediately the days and hours when and by whom the campus spaces are reserved. Student Organizations can find this information at https://eventsmgmt.cbu.edu/EM/EZ/roomusage.html. For more information about renting campus space, please refer to the CBU Compass.

Facility Scheduling Policy
All meetings held on or off campus (i.e., school, departmental, committee, staff, club or other activities) are to be recorded on the master calendar in the Events Management office. This will assist in achieving and maintaining the University's goals of (1) keeping the campus informed of all activities of the University, (2) enabling the switchboard, as well as other campus offices, to direct and relate needed information, and (3) printing an accurate weekly calendar. Any exception to the regular rental rates must have the written authorization of a Vice President or the President.

Event Scheduling
All requests must be submitted at least 10 business days (Mon. – Fri.) in advance. Failure to submit requests on-time will lead to your organization receiving a late request warning. After 3 late request warnings, no late requests will be processed. When the event has been approved and scheduled, the group will receive an approval email for their request. Groups will be held responsible and liable for good use of the space. Your cooperation will be greatly appreciated. Rooms are booked on a first-come, first-serve basis.

Event Conflict Resolution
When conflicts arise from several groups needing the same space at the same time or when one group has an immediate need for the space previously reserved by another person or group, the conflict should be negotiated by the parties involved or by their immediate supervisors. The Director of Events Management, should be notified of any change of space reservation or utilization in these situations. Event Management can be reached at 901-321-3525 or events@cbu.edu.

Diversity
Events Management balances the various needs of the University and the Memphis community and offers hospitality to outside groups. This hospitality and cooperation with the needs of the outside community serves as an advantage to the CBU faculty, staff, and students directly by providing diverse activities on campus and indirectly through public relations efforts and information.

Setup/Reset
Contact Events Management at 901-321-3525 for all room setup and reset arrangements.

Audio Video Resources
An audio-visual technician is required as part of the package whenever the University Theater is utilized by an on-campus or an off-campus group, except where no audio-visual component is requested. Audiovisual arrangements are made through the Event Coordinator, contact information 901-321-3530. Events Management handles arrangements for off-campus groups.

Registered Student Organizations (RSO) Events with Alcohol Present and/or Served
All student groups hosting an event with alcohol present or being served must complete the ARPB Request Form portion of this Event Request Form. The Director of Student Engagement will contact the organization after the ARBP Request Form has been completed.
